In accordance with Section 508 of the Rehabilitation Act (29 U.S.C ยง 794d), WCC has discontinued use of legacy email signatures for Outlook.
The legacy email signature template was generated for new and existing Outlook users between 2022-2026. While this template uses official college branding, the original design incorporates HTML elements that create accessibility limits for users engaging a screen reader or other assistive technologies.
Starting Summer 2026 and moving forward, WCC will implement a managed email signature service that will automatically attach an approved, accessible signature below the body content of all outgoing emails for WCC Outlook users. The contact content for each individual signature will be populated using the employee's Active Directory credentials, so no action is necessary for the employee to activate this signature.
In order to ensure compliance with Section 508, employees using the legacy WCC signature template MUST remove that signature from their Outlook templates. The following instructions provide guidance for removing the signature from Classic Outlook, New Outlook, OWA (Outlook on the Web), and mobile Outlook Applications.
Remove Signature from Classic Outlook
- Open Outlook: Open the classic Outlook desktop application
- Access Options: Click the FILE tab in the top left corner, the select OPTIONS.
- Navigate to Mail: In the OPTIONS window, click on MAIL in the left-hand pane.
- Open Signatures: Under the "Compose messages" section, click the SIGNATURES... button.
- Delete Signatures:
- In the "Select signature to edit" box, click on the signature you want to remove.
- Click the DELETE button.
- Click YES to confirm.
- Remove Default Associations: To ensure no signature appears, set NEW MESSAGES and REPLIES/FORWARDS to (NONE) under the "Choose default signature" section,
- Save Changes: Click OK on the SIGNATURES window, and OK on the OPTIONS window.
If signature persists:
- Clear AutoComplete: Go to FILE > OPTIONS > MAIL, scroll down to "Send Messages," and click EMPTY AUTO-COMPLETE LIST.
- Manual Deletion: Close Outlook, press Window Key + R, type
%appdata%\Microsoft\Signatures and press ENTER. Delete the files in this folder.
Remove Signature from New Outlook
- Open Outlook: Open the New Outlook and click FILE > OPTIONS.
- Select MAIL in the sidebar, then click SIGNATURES...
- Under "Choose default signature," set New Messages to (NONE).
- Click OK to apply changes.
Remove Signature from OWA (Outlook on the Web)
- Sign In: Access your account at outlook.office.com.
- Navigate Settings: Click the gear icon (top right) and select "View all Outlook settings."
- Locate Signatures: Go to Mail > Compose and Reply.
- Remove Content: Delete the text within the signature editor box.
- Update Defaults: Set "Automatically include my signature on new messages" and "On messages I forward or reply to" to (No signature) or uncheck the boxes.
- Click SAVE.
Remove Signature from Outlook iOS or Android App
- Access Settings: Open the Outlook app on your device, tap your profile picture or initials in the top-left corner, and then tap the GEAR/SETTINGS icon at the bottom.
- Locate Signature: Scroll down to the MAIL section and tap on SIGNATURES.
- Remove Signature: Erase the text, such as "Sent from my iPhone."
- Save Changes.
- Android: tap the check mark in the top-right corner to save.
- iOS: tap back or "DONE" to exit the menu.
