Introduction
What is FindTime? “FindTime is an add-in for Outlook that helps you come to consensus on a meeting time. Have you ever spent more time deciding when to meet than actually meeting? FindTime shows what days and times work the best for people within your organization. Propose your selected times to all attendees and allow everyone to vote. Once you reach consensus, FindTime sends out the meeting invite on your behalf, eliminating the time-consuming back-and-forth usually required to find the best meeting time.”
Outlook Instructions
1. Start a new email message by clicking the “New Email” button in Outlook. Or reply to an existing email.
2. Click the “New Meeting Poll” button in the Outlook message toolbar.
3. The “FindTime” instructions will then be displayed on your screen.
4. Add your meeting attendees to the “To:” | Note: Attendees can be outside of the organization.
5. As you add your meeting attendees, you will see the availability of meeting attendees in the FindTime window. | Note: You may not be able to see the availability of attendees outside of the organization.
6. Choose a meeting duration then select possible meeting times for your attendees to choose from. Click Next.
7. Add your meeting location, review your selected meeting times, and click “Add to email”
8. The meeting poll will then be added to your email. Send the email to the attendees at wait for the poll results to start rolling in.
9. Once all meeting attendees have selected their preferred meeting time, FindTime will automatically schedule the meeting based on the poll results. This meeting will then be added to the Outlook calendar of all meeting attendees.
Instructions for Webmail
1. Begin by creating a new email message in Webmail or by reply to an existing message.
2. Click the 3 dots at the bottom of the new message and click FindTime.
3. Add your meeting attendees to the “To:” section of Webmail, select the meeting times in FindTime, then click “Next”
4. Enter a location for your meeting (either physical or virtual), review the selected meeting times, then click “Add to email”.
5. Send your email to let the voting begin.
6. Once the voting has concluded, FindTime will automatically schedule the meeting based on the results of the meeting poll.
