Introduction
When you need to protect the privacy of an email message, encrypt it. Encrypting an email message means it's converted from readable plain text into scrambled cipher text. Only the recipient who has the private key that matches the public key used to encrypt the message can decipher the message for reading. Any recipient without the corresponding private key, however, sees indecipherable text. This ensures only the intended recipient can view the contents of the message. Encrypting emails in Outlook and Webmail is quick and easy. Following the instructions below should you need to encrypt any emails moving forward. Any email containing Personal Identifiable Information (PII) must be encrypted.
Outlook
1. From Microsoft Outlook, click the “New Email” button to begin composing a new message.
2. From the new message tool bar, select Options > Permission > Encrypt-Only
3. Compose your message, and then click send.
Webmail
1. From Webmail, click the “New Message” button to begin composing a new message.
2. Click the “Encrypt” button to encrypt the message. Note: An image of a lock appears over the email with a message letting you know the email is now encrypted. Recipients will not be permitted to remove the encryption.
