VCCS Student Email Account Guide
All MGCC students who meet the required enrollment and account activation conditions are provided access to a Virginia Community College System (VCCS) student email account. This student email account is part of Virginia’s Community Colleges Google Apps / Gmail environment and uses the @email.vccs.edu address format.
Important Student Email Reminder
MGCC faculty, advisors, Student Services, Financial Aid, and other college offices may use your VCCS student email account to send important college information. Check your student email regularly.
1. What Is My VCCS Student Email Account?
Your VCCS student email account is a Google Workspace / Gmail account provided through Virginia’s Community Colleges for student communication.
This account is different from a personal Gmail account. It uses your VCCS student email address and is accessed through myMGCC or Gmail using your student sign-in credentials.

Your student email is a VCCS Gmail account. It is not your personal Gmail account, and it is not an MGCC employee Outlook account.
2. When Does My Student Email Become Active?
Your student email account may not be available immediately after applying to MGCC.
Student email access is typically available after you are officially enrolled and have completed the required payment or financial aid steps for your classes.
Activation Reminder:
If you recently enrolled, paid, or completed financial aid steps, your student email access may not appear instantly. If you still cannot access student email after your account should be active, contact Student Services or the MGCC I.T. Help Desk.
3. How to Access Student Email from myMGCC
- Go to the myMGCC portal.
- Sign in with your myMGCC username and password.
- Select the Gmail tile.
- Your VCCS student Gmail inbox should open.
You may also see other important student tools in myMGCC, such as SIS, Canvas, and Navigate.

4. Email Address and Login Format
Your student email address usually follows this format:

Example: jjd60422@email.vccs.edu
Use your myMGCC username and password when signing in through the myMGCC portal.
5. Setting Up Student Email on Your Smartphone
You can access your VCCS student email on many smartphones using the Gmail app.
- Download or open the Gmail app on your phone.
- Select the option to add another account.
- Choose Google.
- Enter your full VCCS student email address, such as
username@email.vccs.edu.
- When redirected, sign in with your myMGCC username and password.
- Complete any required authentication prompts.
Tip
If the Gmail app redirects you to a college, VCCS, or myMGCC sign-in page, that is expected. Use your myMGCC credentials when prompted.
6. Email Forwarding to a Personal Address
Some students may choose to forward messages from their VCCS student email account to a personal email account. If you choose to use forwarding, remember that forwarding does not replace your responsibility to check your official VCCS student email account.
Important:
Personal email providers may filter, delay, or hide forwarded messages. Always check your official VCCS student email account directly for important college information.

If you set up forwarding, choose the option to keep a copy in your VCCS Gmail inbox.

When forwarding your student email, select Keep Gmail’s copy in the Inbox. This helps ensure that a copy remains available in your official @email.vccs.edu mailbox.
General Forwarding Steps
- Open your VCCS student Gmail inbox.
- Select the Settings gear icon.
- Select See all settings.
- Go to the Forwarding and POP/IMAP tab.
- Select Add a forwarding address.
- Enter the personal email address you want to use.
- Follow the confirmation steps sent by Gmail.
- Return to Gmail forwarding settings and select Forward a copy of incoming mail to.
- Choose Keep Gmail’s copy in the Inbox.
- Save your changes.
If the forwarding option is not available or does not work as expected, continue checking your VCCS student Gmail directly.
7. Privacy and Student Records
Your VCCS student email account and Canvas are the recommended official communication channels for college and course-related matters. During the application or onboarding process, MGCC may use the contact information you provided until your official student account is active and available. After your VCCS student email account is available, students, faculty, and staff should use official college systems when discussing grades, coursework, registration, advising, financial records, account access, or other student-specific information.
Student Privacy Reminder:
Use your official VCCS student email account or Canvas when communicating with instructors, Student Services, or other college offices about student-specific matters. Personal email accounts should not be used for grades, coursework, registration, advising, financial aid, account access, or other student-record-related communication once your official VCCS student email account is available, unless specifically directed by an appropriate college office. Student education records may be protected under FERPA.
8. Login or Syncing Issues
If you recently enrolled, changed your password, or updated your account information, access to student email may not update immediately across every system.
Try These Steps
- Go to the myMGCC portal.
- Try signing in with your current myMGCC username and password.
- If your password does not work, use the password reset option in the portal.
- After resetting your password, try accessing Gmail again from myMGCC.
Password Sync Note:
After a password reset, it can take up to 4 hours for the password change to sync across VCCS systems, including Gmail, Canvas, SIS, and other connected services.
If you still cannot access your student email after the sync window has passed, contact Student Services or the MGCC I.T. Help Desk.

For student security and identity protection, MGCC cannot reset passwords or make account changes based only on an email request. You must call or visit in person so your identity can be verified.

10. Common Questions
Q: Is my student email a Microsoft account, Gmail account, or Google account?
A: Your VCCS student email mailbox is a Google Workspace / Gmail account provided through Virginia’s Community Colleges. You access it using your VCCS / myMGCC sign-in credentials.
Q: Is this the same as my personal Gmail?
A: No. Your VCCS student email is a college-provided Gmail account using the @email.vccs.edu address format. It is separate from any personal Gmail account you may already have.
Q: Can I forward student email to my personal email?
A: Forwarding may be available, but you are still responsible for checking your official VCCS student email account directly. If you forward messages, select Keep Gmail’s copy in the Inbox.
Q: Why should I check my official student email if I forward it?
A: Forwarded messages may be filtered, delayed, hidden, or missed by a personal email provider. Your official VCCS student email account remains the best place to verify important college messages.
Q: I reset my password. Why can I sign in to one system but not another?
A: Connected systems may not update at the same time. Password changes can take up to 4 hours to sync across VCCS systems.
