Microsoft 365 Access, Installation & Password Sync Guide
Microsoft 365 provides MGCC students with access to Microsoft productivity tools such as Word, Excel, PowerPoint, OneNote, OneDrive, Outlook, and Teams. Use this guide to learn how to sign in, use Microsoft 365 online, install desktop apps when eligible, understand Chromebook/mobile limitations, and troubleshoot password sync or activation issues.

1. What Is Included with Microsoft 365?
Microsoft 365 gives students access to commonly used Microsoft tools for schoolwork, document creation, presentations, spreadsheets, file storage, and collaboration.
Depending on your eligibility and device, Microsoft 365 may include access to:
- Word for documents
- Excel for spreadsheets
- PowerPoint for presentations
- OneNote for notes
- OneDrive for cloud file storage
- Outlook for Microsoft email/calendar access, if available to your account
- Teams for meetings and collaboration, if available to your account
- Microsoft 365 web apps through a web browser

Available apps and features may vary based on your student eligibility, license, device type, and whether you are using the web version or installed desktop apps.
2. How to Sign In to Microsoft 365
- Go to Microsoft 365 Apps or office.vccs.edu.
- Enter your full VCCS student email address.
- Use this format:
username@email.vccs.edu.
- Enter your current myMGCC password.
- Complete any additional sign-in prompts that appear.
Plain-English Rule:
Use your full VCCS student email address to sign in. Entering only your username may not work.
3. Microsoft 365 Online vs Desktop Apps
Microsoft 365 can be used in two main ways:

4. How to Install Microsoft 365 Desktop Apps
Current eligible students may be able to install Microsoft 365 desktop apps on personal devices while enrolled.
- Go to Microsoft 365 Apps or office.vccs.edu.
- Sign in using your full VCCS student email address and myMGCC password.
- Look for Install apps, Install and more, or a similar install option.
- Select Microsoft 365 apps if prompted.
- Download the installer.
- Run the installer and follow the on-screen instructions.
- After installation, open an app such as Word, Excel, or PowerPoint.
- Sign in again with your full VCCS student email address to activate the apps.
Note
If you do not see an installation option after signing in, your account may not currently have an eligible desktop-app license, your eligibility may not be active yet, or your account may need support review.
5. Chromebook and Mobile Device Notes
Chromebooks
Chromebooks cannot install the full Windows or macOS desktop version of Microsoft 365 apps. Students using Chromebooks should use the Microsoft 365 web apps through a browser.
- Open a browser on the Chromebook.
- Go to Microsoft 365 Apps or office.vccs.edu.
- Sign in with your full VCCS student email address and myMGCC password.
- Use Word, Excel, PowerPoint, OneDrive, and other available web apps online.
Phones and Tablets
Students using phones or tablets can install Microsoft mobile apps from the appropriate app store and sign in with their VCCS student email address.
- Install the Microsoft app you need, such as Word, Excel, PowerPoint, OneDrive, Outlook, or Microsoft 365.
- Sign in with your full VCCS student email address.
- Use your current myMGCC password.
6. Activation and Sign-In Reminders
After installing Microsoft 365 desktop apps, you may need to sign in to activate your license.
- Open an app such as Word, Excel, or PowerPoint.
- If prompted, sign in with your full VCCS student email address.
- Use your current myMGCC password.
- Stay signed in unless you are troubleshooting or using a shared computer.
Important:
If you sign out of Microsoft 365 desktop apps, the apps may become deactivated until you sign in again with an eligible account.
7. Login Issues and Password Sync
If your password works for myMGCC but does not work for Microsoft 365, your account may need time to sync across connected systems.
Try These Steps
- Confirm that you are using your full VCCS student email address, such as
username@email.vccs.edu.
- Try signing in to myMGCC to confirm your password works.
- If needed, reset your myMGCC password using the official password reset process.
- After a password reset, try signing in to Microsoft 365 again.
Password Sync Note:
After a password reset, it can take up to 4 hours for the password change to sync across connected VCCS systems, including Microsoft 365, Canvas, Gmail, SIS, and other services.
If you still cannot sign in after the sync window has passed, contact the MGCC I.T. Help Desk.
8. Eligibility and Access Expiration
Microsoft 365 access is tied to student eligibility.
- Current students: Students who are currently eligible may access Microsoft 365 services provided through VCCS.
- When enrollment ends: Microsoft 365 access and licensing may end when you are no longer enrolled or no longer eligible.
- Installed apps: Installed Microsoft 365 apps may stop allowing editing if your student license expires or is removed.
- Files: Back up important OneDrive files before leaving MGCC or losing eligibility.
Do Not Wait Until the Last Minute
If you are graduating, transferring, stopping out, or otherwise leaving MGCC, download or move any important files from your VCCS OneDrive before your access changes.

Q: What username do I use for Microsoft 365?
A: Use your full VCCS student email address, such as username@email.vccs.edu.
Q: What password do I use?
A: Use your current myMGCC password.
Q: Can I install Microsoft 365 on my personal computer?
A: Eligible current students may be able to install Microsoft 365 desktop apps on supported personal devices.
Q: Why do I not see the install button?
A: Your account may not currently have an eligible desktop-app license, your student eligibility may not be active yet, or your account may need support review. You can still try using the web apps while the issue is reviewed.
Q: Can I install the desktop apps on a Chromebook?
A: No. Chromebooks cannot install the full Windows or macOS desktop version of Microsoft 365 apps. Use Microsoft 365 web apps in a browser instead.
Q: I reset my password. Why can I sign in to one system but not another?
A: Connected systems may not update at the same time. After a password reset, it can take up to 4 hours for the change to sync across VCCS systems.
Q: What happens to my OneDrive files after I leave MGCC?
A: Microsoft 365 access is tied to student eligibility. Back up important files before graduation, transfer, or loss of eligibility.
