Overview
Welcome to the Facilities, Activities, and Events page. The College respectfully requests that requests for facility, activity, and/or event uses be submitted for consideration a minimum of 90-days in advance of your requested date(s). If you are submitting your request less than 90-days from the start date of your meeting or event, please know that the college will make every attempt to accommodate your request; however, does not guarantee that your meeting and/or event will be accommodated.
If you are hosting a meeting, event, and/or activity outside of scheduled instructional course/programs, that require the use of a space on campus;
VPCC Facility Use (Buildings, Conference Center*, Theatre*, etc.)
VPCC Space within a Facility Use (Gators Café, Classrooms, Labs, Library, etc.)
VPCC Space Outside a Facility Use (Parking Lots, Lawns or Greenspace, Tennis Courts, Basketball Courts, Volleyball Courts, etc.)
Or you are scheduling an event and/or activity on or off campus that includes;
Inviting Dignitaries, Elected Officials, Corporate or other IHE Executive Leaders, or Invites Minors to Campus (Federal, State, or Local, etc.),
Includes Alcohol Service or Consumption, or
Includes Food Service or Distribution
You MUST complete and submit a facilities, activities, event request ticket.

*The VPCC Peninsula Workforce Development and Conference Center: If you are interested in the use of the VPCC Peninsula Workforce Development and Conference Center, please email events-rentals@vpcc.edu before submitting your request.
IMPORTANT – PLEASE REVIEW THE FOLLOWING INFORMATION AND TAKE THE APPROPRIATE ACTION BEFORE SUBMITTING A TICKET. FAILURE TO TAKE THE APPROPRIATE ACTION MAY RESULT IN YOUR TICKET BEING RETURNED WITHOUT ACTION.
Certain proposed events and/or activities require the approval of a Cabinet-level representative and/or full approval of the President’s Cabinet. Please take a moment to review the College’s Return on Investment procedures to determine if your event or activity require this level of approval prior to submitting your ticket. If you are unsure if your event or activity meets the requirements, please consult with your Cabinet-level representative before submitting a ticket.

You must open and download the procedure and associated forms in order to complete the forms and forward them to your Cabinet-level representative.
You are encouraged to have a conversation with your chain-of-command before submitting your forms to your Cabinet-level representative.
As you are planning your event and/or activity, before submitting your request, please take time to review Virginia Peninsula Community College’s Health, Safety, and Risk Management Guidelines and Procedures, particularly, but not limited to the sections that provide guidance around events, activities, décor, tents, amusements, fire and general safety requirements; sections 1, 4, 5, 14, 15, 25, 26, 29, 30, 33, and 34.
NOTES:
Instructional courses scheduled for classrooms and lab spaces, scheduled through the appropriate academic and/or workforce course scheduling process do not require the submission of a Facilities, Activities, Events Request.
Additional requests for the use of facilities or spaces within or outside of facilities outside of regularly scheduled courses are required to submit a Facilities, Activities, Events Request.
Athletic competitions held at non-college venues do not require a Facilities, Activities, and/or Events Request.
Background
The College is committed to creating an experience that is inviting, meaningful, educational, and accessible for our internal and external college community, while accentuating a culture of care and providing an environment that fosters the health, safety, and security of our students, employees, visitors, and guests. This requires a formal process for planning, requesting, and using college facilities and spaces that allow the college to prioritize and maximize opportunities, ensure availability, schedule deconfliction, and determine appropriate resource allocation.
Your event and/or activity is important to you, and it is important to the College. We want you to have a successful event, that places health, safety, and image at the forefront, while balancing capabilities and resources to support your event/activity.
