Getting Started with Microsoft Teams Phones

Microsoft Teams Phones allows you to make and receive calls directly within the Teams app. Whether you're connecting with colleagues, students, or external contacts, Teams Calling provides a seamless and integrated communication experience.

Microsoft Teams Phones allows you to make and receive calls directly within the Teams app. Whether you're connecting with colleagues, clients, or external contacts, Teams Phones provides a seamless and integrated communication experience.

 

Key Features

  • Audio and Video Calls: Make one-on-one or group calls with high-quality audio and video.
  • Voicemail: Access and manage your voicemails directly in Teams. Receive a voicemail transcription directly to your email along with an attachment containing the voicemail audio.
  • Call History: Review your call history to keep track of your communications.
  • Speed Dial: Quickly call your most frequent contacts.
  • Call Forwarding and Delegation: Forward calls to another number or delegate calls to a colleague.
  • Integrated Contacts: Easily call contacts from your Teams, Outlook, or phonebook.

 

Making a Call

  1. From the Calls Tab: Go to the "Calls" tab and use the dial pad to enter a number or search for a contact.
  2. From a Chat: In any chat, click on the video or audio call icon in the upper-right corner to start a call.
  3. Using Commands: Type /call in the search bar at the top of Teams, followed by the name or number of the person you want to call.

 

Managing Calls

  • Answering Calls: When you receive a call, you'll get a notification. Click "Accept" to answer or "Decline" to ignore.
  • During a Call: Use the call controls to mute/unmute, turn your camera on/off, share your screen, and more.
  • Ending a Call: Click the red "End call" button to hang up.

 

Voicemail

  • Accessing Voicemail: Go to the "Calls" tab and select "Voicemail" to listen to your messages.
  • Managing Voicemail: Play, delete, or call back directly from the voicemail interface.
  • Emailed Transcription: You will receive an email with a transcription of the voicemail along with an audio attachment of the voicemail itself.

 

Tips and Best Practices

  • Use a Headset: For the best audio quality, use a headset with a microphone. The Technology Services Division will be providing one-eared headsets to those who need it. If you think that you have a unique need that won’t be met by one-eared headset, we encourage you to discuss your needs with your supervisor.
  • Update Your Status: Set your status to "Do Not Disturb" during important calls to avoid interruptions.
