Setting Up a Standard Zoom Meeting to Act Like a Webinar

Your regular Zoom meeting license can function like a webinar if certain settings are properly adjusted, and can accommodate up to 300 participants. If you don't expect more than 300 attendees, you can use your standard Zoom meeting license.

You'll need to modify some personal settings within Zoom to set the appropriate default options, limiting participant actions. These configurations must be set before scheduling and hosting the meeting. Keep in mind that these changes will apply to all your meetings, but some settings can be overridden during scheduling or while the meeting is in progress, allowing for more flexibility and features for your participants.

To access your Zoom settings:

  1. Sign into your MyPVCC / VCCS account
  2. Click on the Zoom application tile
  3. In the left-hand menu, click Settings

Settings to Change

  • Participants video: Off
  • Audio Type: Both Telephone and Computer Audio
  • Join before host: Off
  • Mute participants upon entry: On
  • Chat: On, and check "Prevent participants from saving chat" to limit attendees from saving the chat. Click Save.
  • Private chat: Off
  • Screen sharing: Host Only. Click Save.
  • Nonverbal feedback: On. This allows the host to ask closed-ended questions, and attendees can respond using Nonverbal feedback icons in the participant panel.
  • Allow removed participants to rejoin: Off

Scheduling a Meeting

After changing these settings, you can schedule a meeting. 

  1. Select Meetings in the left-hand menu
  2. Click the "Schedule a Meeting" button

Running the Meeting

Participants who join the meeting will start muted, but can unmute themselves. To prevent this:

  1. Open the Participants panel.
  2. Click the "Mute All" button, then uncheck "Allow participants to unmute themselves"

The host or co-host can use the Participants panel to unmute people who wish to speak. Participants can also use the Chat feature.
