myVCCS: Current or Alumni in myVCCS and Enterprise Active Directory (EAD)

Current Status

The term Current is defined by myVCCS using the criteria outlined below. Users in the Current status are moved to the Enterprise Active Directory (EAD) Current Organizational Unit (OU) and are granted access to various applications such as Google Workspace and Microsoft 365. Our integrations with the Student Information System (SIS) and other systems determine membership in the Current status.

Students

Students who have an enrolled status of E (Enrolled) or W (Withdrawn) in the current, previous, or upcoming semesters are considered Current. This also includes workforce students enrolled in courses that have synchronous start and end dates, regardless of the officially assigned semester.

Faculty and Staff

Active faculty and staff are classified as Current if they are properly registered in our HR system, meaning they have an active job record or are associated with instruction or advising roles.

Contractors

Contractors who have submitted the necessary paperwork are also classified as Current. This requires a ticket to be submitted to our security office.

Alumni Status

Users who do not have an enrolled status of E or W in the current, previous, or upcoming semesters are considered Alumni. Alumni users lose access to all VCCS resources except for SIS and Google Workspace. 

Examples of resources affected by the Alumni designation include:

  • Office365 for Students
    Once an individual is no longer Current, their Office365 account is held for 30 days in a recycle bin with full recovery available. After this period, the account is permanently deleted.
  • Library Resources
    Many library resources are only available to Current students.
  • Google Apps
    Although access to certain Google apps continues, some restrictions may apply once a user is no longer Current. Users will only maintain access to Gmail.
  • Special Vendor Discounts
    Alumni will no longer receive emails from vendors, such as Amazon.
  • Zoom
    Access to Zoom may also be affected.

Pre-Enrolled Status

Users who have never held an active or Current job record are classified as Pre-Enrolled. Pre-enrolled users only have access to SIS for enrollment purposes.
