Overview
eVA is the official statewide electronic procurement solution for Virginia. We are required by the Agency Procurement and Surplus Property manual to use eVA at the point of requisitioning for all purchases of goods and services.
The Department of General Services maintains eVA. The software is free to use, but for every non-exempt transaction in eVA a use-fee is charged to the vendor and the agency.
Features & Benefits
Workflows
eVA allows for the design of intricate workflows for approving requisitions, including the use of "Signer Rules" which can be triggered by department codes, commodity codes, transaction types, vendor, etc. at the desired dollar amounts.
Reporting
Various stock reports are available for monitoring purchases, cycle time, expense, users, etc. The software also supports building ad hoc reports, as well as scheduling reports to send automatically through email.
Integration
eVA supports integration through Biztalk with a number of external systems, including PeopleSoft (AIS). eVA integrates requisitions, purchase orders, and vendors with AIS. The eVA UAT integrates with the AIS TEST environment.
Electronic Purchase Order Transmission
Vendors who have registered for electronic purchase order delivery receive Purchase Orders via email immediately following approval, via the Ariba network.
Metrics & Statistics
eVA is used by more than 245 state agencies and institutes of higher education, and 900+ local governments and public bodies, to announce bidding opportunities, receive quotes, order placement & approvals, contract management and more. For statistical data visit eva.virginia.gov.
Help & Support
Getting Started
All VCCS users with purchasing duties may request an eVA account through their eVA Security Coordinator. The eVA Acceptable Use Acknowledgement must be signed by the user and their manager, then submitted through a TeamDynamix ticket.
A number of training resources are available through the eVA website and the Shared Services Center (SSC) conducts regular training sessions on using eVA (see Training Calendar on the SSC website at ssc.vccs.edu).
Getting Help
The first contact for help with eVA should be the Shared Services Center Customer Engagement department, through email (help@ssc.vccs.edu) or phone (877-340-5577). Most issues with user setup, requisition or purchase order creation, approval, or integration can be resolved by the SSC.
