Email: Report Phishing Emails in Office 365

Purpose

This article shows the different ways to report a phishing message to BRCC's IT team when reading an email in Microsoft Office Outlook, Office 365 Apps Outlook, and Office 365 Outlook on the Web.

In BRCC's annual security training, Employees are told to report phishing messages using the Phish Alert Button (PAB). This button is advertised to all @brcc.edu email users reading messages within the Microsoft 365 ecosystem. 

In any email client on any device, you can always forward the message to Phish@brcc.edu.

What does the button look like?

There are two visual buttons you might see: a Red Shield with an exclamation point, or a white envelope with a yellow shield in the bottom right corner. Both achieve the same function of reporting Junk messages or Phishing messages.  You may see both in the same application and in different locations than the ones shown in this article.

Outlook 2021 LTSC (Office 2019, Office 2021)

BRCC Employee computers have a more traditional version of Microsoft office. On this version of Outlook in it's default state, you might only see the Envelope icon on the far right of the Home ribbon. It will be in the same place on floating message windows.

Outlook 365 Apps

If you've installed Office on your personal computer you may see both the Shield and Envelope in your Home ribbon. The shield is closer to the left, while the Envelope is closer to the right of your window. It will be similar on floating message windows.

You may also see the Shield in your contextual menu near the bottom when you right-click or two-finger-click (touchpad).

New Outlook & Outlook on the Web

New Outlook is likely installed on your computer if you have any of the Microsoft Office versions. In both New Outlook you may see both the Shield and Envelope icons. The Shield will be towards the left of the Home ribbon and the Envelope, if visible will be towards the right. It will be similar in floating message windows.

When viewing a message in the preview pane, you may see the envelope at the top right of the message.
