PowerPoint: Make a Captioned Video from a PowerPoint Presentation

Purpose

This article explains how to turn a Microsoft Office Power Point presentation into a Captioned Video. These instructions are geared toward creating creating the captions and does not go into the specifics of embedding audio or recording options. 

Assumptions

  • You have a valid Microsoft 365 license
  • Your computer has a built in microphone, or one attached
  • You have already created a PowerPoint and either embedded audio, or are ready to record audio.

Option 1: I am recording a presentation

  1. When you are ready to record, Select the Slide Show ribbon tab and select "Record"Uploaded Image (Thumbnail)
  2. The slideshow will start, but recording has not. When you are ready, click the red Record button at the top of the screen. When you are finished recording, click the red Square in the same place you started the recording.

  3. Click Export. On the next screen, choose your video name and save location. The Default save location is the same directory as the PowerPoint. When you're ready, click Export Video Uploaded Image (Thumbnail)
     
  4. On the next screen click Exit in the top right, which will close the PowerPoint presentation

Option 2: My PowerPoint has embedded audio narration

  1. Click the File tab in the Ribbon, and then choose Export on the left side. Then choose Create Video. Uploaded Image (Thumbnail)
     
  2. Make sure "Use Recorded Timings and Narrations" is selected. 
  3. Click Create Video and choose a save location. The Default is the same directory as the powerpoint. 

Adding Captions with Microsoft Stream

  1. Log into https://office.com with your BRCC or VCCS credentials. Click the grid in the top left of the screen. in the search bar the top, start typing "stream". when it appears, select it. Uploaded Image (Thumbnail)
     
  2. Click Upload, and then choose your exported PowerPoint video.Uploaded Image (Thumbnail)
     
  3. to the right of the video, select Video settings. Expand the "Transcript and captions" section, and choose Generate. Uploaded Image (Thumbnail)
     
  4. Transcription may take a while depending on the length of your video. Once it's complete, a Transcription section will appear on the right. From there you can edit the transcription. Uploaded Image (Thumbnail)
     
  5. To export your video with the captions, cilck the three dots above the video, and select Download. The captions will be embedded in the video for use anywhere that play .m4a videos. Uploaded Image (Thumbnail)
