This article outlines the annual KnowBe4 Security Awareness training requirements that all Reynolds employees must abide by.

Key Points:

  • The KnowBe4 Security Awareness training platform is what all 23 community colleges in the VCCS use to comply with annual security training requirements.  The goal is to educate users on how to detect and avoid falling victim to ever evolving cyberattacks.
     
  • Each community college may have a different set of training modules that their employees are responsible for completing.  For example, Reynolds has six (6) training modules that must be completed.
     
    • 2023 KnowBe4 Security Awareness Training - average completion time of 30 minutes
    • FERPA and HIPAA for Faculty and Staff - average completion time of 15 minutes
    • Taking Security Awareness Home - average completion time of 10 minutes
    • Creating Strong Passwords - Security Awareness Training - average completion time of 10 minutes
    • Introduction to Data Protection - average completion time of 10 minutes
    • Employee Acceptable Use Agreement - average completion time of 2 minutes
       
  • Employees with administrative network privileges, deal with sensitive and confidential records, or have been flagged as failing quarterly phishing campaign tests may be required to complete additional training modules.
     
  • At Reynolds, new employees will have 30 days to complete their security training modules after their designated hire date. 

    Current employees and retired full-time faculty that have elected to keep access to their Reynolds email account will have 30 days to complete their training after they are sent a reminder email from the VCCS Shared Services Security Help Desk (the email should come from JSRCC SAEHelp <do-not-reply@training.knowbe4.com>

    After 30 days, the employee will be in a non-compliant status and risk having their computer/email account temporarily suspended.  Once the account has been suspended, the employee must call the Help Desk at 804-523-5555 during normal business hours for further assistance.
     

Instructions:

  1. To access the KnowBe4 Security Awareness training site, open any Internet browser and navigate to https://training.knowbe4.com.
     
  2. Enter your Reynolds email address and current password when prompted.
     
  3. On your account dashboard, click the Training tab.

  4. You should see the six (6) training modules that you are required to complete.
     
  5. Click each module to start it.  Note that some modules will require you to take a quiz at the end and you must score at least 80% before completion.  Do not worry about having to save your progress as you will be able to continue from where you last left off if you need to take a break.
     
  6. Once all six modules have a Completed status, you will be flagged as compliant for up to 12 months (see the Notes below for exceptions).  After that, the compliant flag will be removed and you will have to complete the training modules for the new training cycle.

    Note #1: Each Security Awareness training cycle at Reynolds begins in early October, so there may be situations where newly onboarded employees that are hired before October may be required to do the training for the current cycle and then again in October for the new cycle -- effectively forcing them to do the training twice.

    Note #2: CCWA employees are exempted from having to complete the Security Awareness training for the current cycle at Reynolds if they email SAEHelp@vccs.edu with proof that they are compliant in their training for Brightpoint (this means that they must have completed the training for Brightpoint during their current training cycle -- generally this will be within the previous 12 months).
