HR Employee Data Requests
Human Resources has established a standard process for requesting Human Resource data. The process is designed to ensure requests are properly documented, reviewed for an appropriate business purpose, and handled in accordance with applicable confidentiality requirements and HR policies.
How to Request Employee Data
Employees requesting HR data must complete the HR Employee Data Request Form and provide an official business reason for the request. Requests without a stated official business reason will not be processed.
Once completed:
- Email the completed form to hr@laurelridge.edu. This will create a ticket in TeamDynamix (TDX) for tracking and assignment.
- HR will provide an initial response within two business days after receiving a complete request.
- Official data will typically be provided no later than five business days from receipt, depending on the requested effective date and the nature of the request.
- Incomplete forms will be returned to the requestor, and the processing timeline will not begin until a complete form is received.
Confidential Employee Data
Some employee information is confidential or legally protected. Examples include salary/compensation detail, leave information, performance or disciplinary records, medical/disability/FMLA information, government identification numbers, and other personally identifiable information.
Please note: HR retains discretion regarding whether, what, and how confidential information is released. Depending on the request, HR may require additional written justification, employee consent, redaction, or review by the CHRO, legal counsel, or DHRM. These reviews may extend the normal response timeline.
FAQ – HR Employee Data Requests
Why do I need to provide a business reason?
HR must verify that there is a legitimate official business need for the information requested and that the requestor is authorized to receive the information.
How long will my request take?
You should receive an initial response within two business days of HR receiving a complete request. Data is typically delivered within five business days, although confidential or legally protected requests may require additional review.
What if I need the same data regularly?
If the data is needed on a quarterly or annual basis, indicate that on the request form so HR can consider the request for scheduling purposes.
Where do I send my completed request?
Email the completed HR Employee Data Request Form to hrteam@laurelridge.edu. Your email will generate a TeamDynamix ticket so the request can be tracked through completion.
