Laurel Ridge Employee Form I-9 Assistance

As an onboarding employee of the college, one of the important tasks you will need to complete is the Form I-9.

What is Form I-9?

Federal law requires that every employer who recruits, refers for a fee, or hires an individual for employment in the U.S. must complete Form I-9, Employment Eligibility Verification. Form I-9 is to verify the identity and employment authorization of individuals hired for employment in the United States. All U.S. employers must properly complete Form I-9 for each individual they hire for employment in the United States. This includes citizens and non-citizens. Please note: employers may terminate an employee who fails to present acceptable documentation (or an acceptable receipt for a document) within three business days after the date employment begins.

What do I need to do?

You have two steps if you live within our service region

  1.  Complete Form 1-9 Section 1 in Avature (using the link provided in email), your onboarding portal, no later than first day of work for pay.
  2. Employees must provide documentation to their employers to show their identity and authorization to work no later than the third business day the employee starts work for pay. This is often referred to as I-9 Section 2. The list of acceptable documentation is found hereExample: If an employee begins work on Monday, August 21st, 2023 - they must provide their documentation no later than close of business Thursday, August 24, 2023. 
  • You must present your identification either in person at our office or via video chat.  If you elect to present your identification at our office (Middletown campus, Cornerstone Hall, Suite 209), office hours are Monday -Friday 7:30AM to 4:30PM and it is strongly recommended to make an appointment with our team by emailing your availability for on-site I9 completion to hrteam@laurelridge.edu.
  • If you elect to present your identification via video chat, please use this link to book your video chat meeting- the booked meeting should be no later than the third business day you started work for pay.

You have four steps if you live outside our service region

  1.  You will receive an email from your HR Consultant outlining the steps to take and providing you with: a) Form I-9 and b) the contact information of authorized representatives living relative to your zip code.
  2. Print Form I-9 and complete Section 1 no later than first day of work for pay.
  3. Contact the authorized representative to schedule a date and time to present your documentation, and for the representative to complete section 2. Form I-9 section 2 must be completed no later than the third business day the employee starts work for pay. The list of acceptable documentation to present is found here
  4. Once the representative has viewed your documentation and completes Section 2, arrange to have the completed Form I-9 and scan of the document(s) presented sent securely to your HR Consultant.
