There are multiple email types in SIS, some of which end users can edit and change, and some of which they cannot. Additionally, people have the ability to set a Preferred email address.

 Email addresses are in the ps_email_addresses table, and are synchronized between SIS and HR.

Business (BUSN) 

The Business address comes from HR where it is manually entered by HR personnel and is not editable by end users. It should typically be the official email in the college’s email system.

Home (HOME)

The Home address is not entered by default and is at the discretion of the end user.

Other (OTHR)

The Other email address is what is sent from the Online Application (XAP) and so should be in place for almost all students. It is also editable by end users.

VCCS Employee Email (VCCE)

The VCCS Employee Email is entered by college staff, and if it exists, it is identified as the Preferred email by default. End users cannot edit the email.

VCCS Student Email (VCCS)

The VCCS Student Email should exist for all users and not be editable by them. For students, it should be identified as the Preferred email by default and it should be assigned when they are assigned a username. If it does not exist, it can be added manually after the correct email is looked up in the identity system (myVCCS). EAB Navigate requires the presence of a correct student email address.

WES (WES)

The WES email comes from the Workforce Enterprise System (WES).

Campus

VCCS does not use Campus, although some users may have entered it.

Dorm

VCCS does not use Dorm, although some users may have entered it.

Implications and Dependencies

These email addresses should be pushed to the identity system, and from there to the Enterprise Activity Directory (EAD), and to systems like Zoom, Canvas, Google, etc. Some systems use the Preferred email address, but some, like Zoom use the student email address (VCCS). 

Multi-factor authentication (MFA) and identity account activation may make use of the OTHR address or VCCE address in notifications and onboarding workflows. For employees, MFA uses VCCE, i.e. the employee email address.

Staff View

Email addresses can be edited by staff, but in general, the VCCS Student Email should never be changed. If it does not exist it can be added after looking up the correct email address from the identity system.

The VCCE can be changed to anything, and some colleges have done so for people who do not have an account in the college email system, for dual enrollment instructors for example.
